Our Treatment Coordinator will play a key role in guiding guests through their clear aligner journey by uncovering their needs, addressing concerns, and providing solutions that make achieving their ideal smile feel simple and enjoyable.

About the Role

The Treatment Coordinator is responsible for converting GleamFit Aligner consultations into treatment starts. This role requires a strong sales mindset, as well as clinical expertise to perform iTero scans and Nomad X-rays. The Treatment Coordinator partners closely with our Dentist and Orthodontic team to support our guests on their journey toward their perfect smile.

When not actively engaging in consultations or email, text and phone follow-ups, the Treatment Coordinator will perform duties aligned with our Care Coordinator role—helping manage guest appointments across The Gleamery’s full suite of treatments, supporting the hygiene team, and assisting with studio operations.

Key Responsibilities

GleamFit Aligner Consultations & Sales

  • Conduct iTero scans and Nomad X-rays to assess aligner candidacy.
  • Use The Gleamery consultation method to guide guests through the decision-making process, uncovering their needs, addressing concerns, and confidently closing treatment plans.
  • Educate guests on GleamFit Aligners by highlighting their benefits and outlining the high-touch treatment process.
  • Present financial investment, time commitment, and treatment expectations in a way that builds excitement and confidence.
  • Handle follow-ups with undecided guests to increase conversion rates.
  • Collaborate with the Dentist and orthodontic team to ensure a seamless experience.

Guest Experience

  • Check in and seat guests, answer inquiries (phone, text, and email), and educate guests on The Gleamery’s cleaning and whitening treatments.
  • Schedule, confirm, and reschedule guest appointments while keeping the calendar fully booked.
  • Assist chair-side for the hygiene team as needed.
  • Complete the check-out process, ensuring guests schedule follow-ups and understand payment options.
  • Manage guest concerns with a solution-focused approach, escalating as necessary.

Studio Operations & Team Collaboration

  • Maintain a spotless, welcoming studio environment, including sterilizing treatment rooms, restocking supplies, and upholding OSHA compliance.
  • Assist with inventory management and preparation of treatment materials.
  • Engage in team meetings, company initiatives, and community outreach to drive guest retention and satisfaction.

Qualifications & Skills

  • Active dental license allowing the performance of X-rays, such as:
    • Registered Dental Assistant (RDA) with X-ray certification
    • Expanded Functions Dental Assistant (EFDA)
    • Other state-recognized certifications for X-rays
  • Sales experience required, preferably in clear aligners, elective healthcare, or cosmetic procedures.
  • Strong ability to connect with guests, build trust, and confidently close sales.
  • Exceptional communication, organization, and follow-up skills.
  • Experience with electronic medical records (EMR) systems is a plus.
  • The ability to work any day/time of the week with no restrictions.
